Administrative Assistant - Panhandle PBS who will be all-in on our mission and who is responsible for maintaining accurate electronic and physical records and providing essential support to the Station's Business Office, Controller and General Manager. This position will provide exceptional customer service by professionally managing incoming phone calls, welcoming guests and assisting students, members, and other visitors.
Qualifications EDUCATION: Required: Associate's degree.
Preferred: Bachelor's degree.
EXPERIENCE: Required: Two (2) years of experience in a business setting, including financial accounting, bookkeeping, database management, and proficiency in office software.
Preferred: Experience working in a non-profit organization, with fundraising and volunteer coordination experience.
Job Duties & Responsibilities - Assist the Membership/Development Coordinator with database management, membership drives, renewal letters, and other fundraising efforts.
- Assist in the development, implementation, and maintenance of a stewardship program for Panhandle PBS members, supporters, and donors.
- Support the Community Engagement Coordinator in coordinating projects and completing required documentation.
- Answer incoming calls, screen visitors, and respond to general email inquiries.
- Greet and assist students, members, and guests at the Jackson Street entrance and business office.
- Assist Underwriter and Community Support Coordinator with the input of underwriting contracts into the traffic system and generate billing for TV and radio underwriters in a timely manner.
- Perform quarterly audits segments of the station's underwriting to confirm accuracy, current billing, and as a general check-and-balance on this major source of revenue for Panhandle PBS. These reports shall be distributed to the controller, general manager, and CEO.
- Assist the General Manager with bill payments, expense reports, credit card reconciliation, and other administrative tasks.
- Coordinate mail distribution and package deliveries.
- Coordinate food orders and manage setup and cleanup for department meetings, screenings, and events.
- Complete UCP for event set up for things happening in studio.
- Support hiring processes by scheduling interviews and organizing paperwork.
- Become familiar with the PBS Passport system and be available to assist members with troubleshooting.
- Assist in data tracking and reporting for Family Membership and other fundraising initiatives.
- Take meeting minutes for Advisory Council, staff meetings, and other gatherings as needed.
- Provide troubleshooting assistance to PBS Passport members.
- Perform other work-related duties as required.

Salary: Pay grade 6 (salary is determined by Human Resources based on education, work experience and internal comparisons).
Physical Demands: While performing the duties of this job, the employee is frequently required to travel between offices and buildings, and requires the ability to lift, carry, push, pull and/or maneuver office supplies as needed.
Working Conditions: Must be willing to work a flexible schedule (days, nights, weekends, holidays, and varying events if necessary.)
Work Environment: This position operates in a professional office environment, routinely uses standard office equipment (i.e. computers, phones, copy and fax machines, filing cabinets), as well as outdoor work at the station's broadcast towers, and is in a high traffic area with continual interruptions. Work may also be performed outside of the office, in high voltage environments, and with little to no supervision.
